The commitment of Crerar Hotels is to excellent customer service, particularly those users of this website and we respect your rights to individual privacy. Under the General Data Protection Regulation (GDPR) (EU) 2016/679, we must comply with certain requirements which are designed to ensure that any data you provide to us is processed with due care and attention.
Joining our mailing list
There are a few different ways you can join Crerar Hotels e-mailing list, these are listed below. If you are already on our list we have a record of when and how this took place. From 25th May 2018, in all instances, you will only be added to our mailing list if you have specifically opted in to do so.
By opting in to our mailing list you will be the first to receive information on upcoming Crerar Hotels special offers, deals and news.
If you have provided us with details through any of the following services; Sign Up Form, Enquiry Form, Making a Reservation, Gift Vouchers, Crerar Hotels Guest Registration Cards, Booking an Event, Leisure Club Membership, or as a Spa Customer, and not given permission, your details will not be used for Crerar Hotels marketing purposes and you will not be added to our mailing list.
If you have, this information will then be used by Crerar Hotels to inform you of news, special promotions and other offers that we feel may be of interest to you. We will retain your information securely for the use of Crerar Hotels only.
Personal information collected through any of the above channels outwith the website, where additional personally identifiable information is also requested, will never be used for marketing purposes, and only for relevant business reasons. For example, Guest Registration Cards ask for your car registration plate – this is for security reasons during your stay only.
How long do we hold your data?
We will only hold your personal information for as long as necessary to fulfil the purposes we collected it for which includes legal, accounting or reporting requirements. We limit this at five years to meet these requirements, and following this time frame we securely delete or destroy this information.
When making an accommodation booking we will record your email address along with your first name, last name, address, postcode, phone number and payment information. The purpose being so we have the information ready if we need to contact you in the event of a change or query with your booking. Note, payment information is stored securely and never used for marketing purposes.
Upon check-out Crerar Hotels must also hold your details for tax purposes, and this will be held for five years in a secure place on our system. Guest registration cards will be destroyed after three months. If you have not opted in to our mailing list we will not contact you for marketing purposes. After five years we will safely and securely remove you from our records.
If you are a member of one of our leisure clubs, we will hold your data for as long as you are a member. This is to allow us to contact you with any relevant messages relating to your membership or the club. From May 25th 2018, you will only be added to our marketing mailing list if you have specifically opted in to do so. Otherwise, once your membership ends, we will delete or destroy all of your personal data.
If you have received a spa treatment from one of our hotels, we will hold your data filled out on the client helath consultation form for five years, as we are legally obligated to do. This information will never be shared with anyone and will never be used for marketing purposes.
If you have purchased a gift voucher from us we will store your data for 12 months after your voucher has been redeemed/refunded, which gives Crerar Hotels security in processing the gift voucher. We, and our voucher provider, SK Chase, do not use your personal data after the processing of the order has been completed unless a request comes in from, i.e. buyer queries/chargebacks/subject access requests.

We hold your data for as long as you’d like us to, or for as long as we think it is still of interest to you. Or, until you decide to opt out of receiving our marketing emails.

Crerar Hotels may monitor and collect the domains of visitors to this site and may use this information for statistical purposes. This will provide aggregate data only – nothing that is personally identifiable with any individual.
Certain links in this website will provide you with access to external websites, over which Crerar Hotels exerts no influence. Crerar Hotels is therefore not responsible for the content or security practices of these websites and Crerar Hotels does not necessarily endorse any external website.
Crerar Hotels will also store supplier data such as name, address and payment details for the purpose of satisfying the relevant authorities that proper accounting records have been kept and for payment of the services provided by the supplier.
Crerar Hotels operate CCTV at a number of our properties, which is place for security purposes. These images are retained for a varied period of time, and no longer than 30 days. This will only be viewed when a criminal act has taken place.
